Director of Operations

Own company operations end to end while ensuring a smooth, high-quality client experience. Build systems, drive execution, and keep both internal teams and client delivery running cleanly as the company scales.

The Opportunity

We’re scaling fast. The business is making a huge impact and now we need a Director of Operations who can run execution ensuring:
• priorities move forward weekly
• projects finish on time
• systems are followed
• details don’t fall through the cracks
• leadership doesn’t have to chase tasks Not “help with ops.” Own ops.

What You Will Own

You will:
• run the operational execution rhythm of the company
• keep projects and priorities moving across teams
• track deadlines, owners, deliverables, and completion
• build and maintain SOPs and operational systems in Notion • reduce friction, bottlenecks, and operational chaos
• maintain clean reporting and dashboards leadership trusts
• implement simple automations where it improves speed and consistency

Responsibilities

Responsibilities
1) Execution + Project Management

• manage timelines, deliverables, and owners across departments
• ensure work actually gets completed (not just discussed) • follow up, unblock, and maintain accountability
• keep leadership informed without pulling them into details

2) Systems + SOPs

• document and maintain operational workflows in Notion
• create repeatable processes that reduce confusion and rework
• make execution simpler, cleaner, and more consistent over time

3) Reporting + Operational Clarity

• maintain dashboards and weekly reporting cadence
• surface risks early and drive fixes before they become emergencies
• ensure leadership has clarity on what’s on track / off track

4) Tech + Automation (Lightweight)
• identify manual workflows that should be simplified or automated
• support basic automations using tools like Zapier
• help reduce repetitive admin work across the organization KPIs (What Success Looks Like)
• 90%+ of projects delivered on-time
• fewer execution bottlenecks month-over-month
• reduced leadership involvement in day-to-day ops
• SOP adoption increases across the team
• reporting is accurate, consistent, and actionable

Tools We Use

AI, Notion, Slack, Zapier (and other modern tools to streamline execution)

Required experience & Skills

• 5+ years in operations leadership within a service-based or coaching company

• Proven ability to design, document, and scale SOPs across teams

• Experience managing client delivery, internal teams, and cross-functional workflows

• Strong execution bias with high standards for quality and follow-through

• Ability to lead calmly under pressure and bring order to complexity

Compensation

$90,000–$110,000 total compensation, including:

  • Base salary plus

  • Performance-based bonus tied to operational execution, delivery quality, and company health
